Operations & Process Documentation Specialist Job Description

Job Type: Full-Time

Work Hours: Mon-Fri: 10 AM - 6PM (Tuesdays, 9:30 AM - 6:00 PM)

Adtelligent Ltd. is seeking a meticulous and organized Operations & Process Documentation Specialist to help streamline our internal processes and ensure that all operational procedures are clearly documented and followed. This role is critical in maintaining the efficiency and consistency of our operations by creating detailed “how-to” guides, standard operating procedures (SOPs), and other process documentation. The ideal candidate will have a strong background in operations, process improvement, and technical writing, with the ability to translate complex processes into clear, concise documentation that can be easily followed by team members.

Responsibilities and Duties:

Process Documentation:
01. Create SOPs: Develop and maintain detailed standard operating procedures (SOPs) for all key operational processes within the company.
02. Write How-To Guides: Produce clear and user-friendly “how-to” guides for various tools, software, and internal systems used across the company.
03. Document Workflows: Map out and document workflows for different departments to ensure consistency and efficiency in operations.
04. Update Documentation: Regularly review and update documentation to reflect changes in processes, tools, and best practices.
Process Improvement:
01. Identify Gaps: Analyze current processes to identify gaps, inefficiencies, or areas where documentation is lacking.
02. Recommend Improvements: Work closely with department heads to suggest and implement process improvements based on operational needs.
03. Standardize Processes: Ensure that all processes are standardized across departments and that documentation is consistent in format and content.
Operations Support:
01. Monitor Compliance: Ensure that all team members are following documented processes and procedures, and provide training or support where needed.
02. Track Operational Metrics: Collaborate with the operations team to track key performance indicators (KPIs) related to process adherence and efficiency.
03. Facilitate Communication: Act as a liaison between departments to ensure that process changes are communicated effectively and adopted smoothly.
Training & Onboarding:
01. Support Onboarding: Assist in the onboarding of new employees by providing them with necessary process documentation and conducting training sessions on operational procedures.
02. Create Training Materials: Develop training materials and programs to educate team members on new processes, tools, and systems.

Required Skills/Traits:

- Technical Writing: Exceptional technical writing skills with the ability to translate complex processes into clear, concise documentation.
- Process Improvement: Strong understanding of process improvement methodologies (e.g., Lean, Six Sigma).
- Attention to Detail: High level of attention to detail, ensuring that all documentation is accurate and comprehensive.
- Organizational Skills: Excellent organizational skills with the ability to manage multiple documentation projects simultaneously.
- Communication: Strong interpersonal skills, capable of working collaboratively with various departments to gather information and ensure process adherence.
- Analytical Thinking: Ability to analyze processes and identify opportunities for improvement.
- Adaptability: Flexibility to adapt documentation to changing processes and tools.

Qualifications:

- Education: Bachelor’s degree in Business Administration, Operations Management, Technical Writing, or a related field. An MBA is preferred.
- Experience: Minimum of 3-5 years of experience in operations, process documentation, or a related role.
